Administration/Reception/Travel Co-Ordinator

We are currently seeking a switched on, pro active person with solid administration, reception and travel coordination experience to join a well established and successful company based in Sydney CBD. This is a position for someone who is looking for a challenge and displays a flexible and willing attitude to undertake a variety of tasks as required. To succeed in this role you will also be dynamic and enthusiastic, actively indentifying areas where you can assist and help the business.
 
This is a busy position which is quite broad in terms of responsibilities, however main duties will include:
  • Manage the reception desk, ensure it is manned at all times and be the first key point of contact with clients via telephone or visitors to the office.
  • Provide efficient all round administrative and secretarial support to Executive General Managers and Corporate office staff.
  • Database updates and management.
  • To coordinate travel requirements for all Head Office staff, and fulfil requirements as provided by Centre Travel Coordinators on travel registers.
  • To answer telephone calls in a professional, courteous and timely manner ensuring all messages are passed on to staff immediately.
  • Collect and distribute mail on a daily basis, prepare and send evening mail and organise couriers etc.
  • Coordinate office functions and special events as required.
 
The person sought for this role will have an excellent telephone manner and corporate presentation, exceptional verbal and written communication and attention to detail. You will also be proficient in using Microsoft Word, Excel, PowerPoint, Visio and Outlook. Previous experience making and managing corporate travel bookings and requirements would be highly regarded as would experience with the TRIM system. It is essential that you also have fantastic organizational skills, show initiative and are able to work well under pressure.
